The Hibiscus Importer’s Playbook — 10-Step Guide
Below is the full buyer workflow Palmadex uses to ensure every hibiscus shipment meets international standards.
Step 1: Initial Inquiry and Specification Confirmation
Buyers share their required purity level, moisture limit, colour preference, packaging size, documentation needs, and destination port. Palmadex provides matching export-grade specifications.
Step 2: Pricing, MOQ, and Contract Terms
Palmadex issues a formal quotation detailing FOB, CFR, or CIF pricing, minimum order quantity, trade terms, and payment modalities based on the buyer’s destination.
Step 3: Sample Request and Approval
Samples reflecting actual export quality are sent for evaluation. Buyers approve colour, purity, dryness, and overall appearance before contract signing.
Step 4: Purchase Order and Contract Signing
A proforma invoice is issued, and both parties sign the sales contract covering volume, specifications, documentation, and shipping terms.
Step 5: Sourcing and Batch Preparation
Palmadex begins sourcing from its certified hibiscus clusters across Kano, Katsina, Jigawa, and Bauchi. Only batches meeting colour and purity standards proceed to processing.
Step 6: Cleaning, Sorting, and Quality Control
Hibiscus undergoes mechanical cleaning, gravity separation, magnetic removal, and manual sorting to achieve 95–99 percent purity. Moisture is tested and regulated to a maximum of 12 percent.
Step 7: Packaging and Fumigation
Export-grade hibiscus is packed in 25–50 kg PP bags with food-grade liners. Fumigation is done by licensed professionals, and certificates are prepared immediately after treatment.
Step 8: Documentation Preparation
Palmadex organises the full documentation set:
Phytosanitary certificate
Fumigation certificate
Certificate of origin
Commercial invoice
Packing list
Third-party inspection reports (optional)
Step 9: Container Loading and Port Delivery
Containers are cleaned, inspected, and lined if required. Bags are arranged for ventilation and stability. Palmadex ensures timely delivery to the port for the scheduled vessel.
Step 10: Shipment and Tracking Updates
Once onboard, Palmadex provides real-time tracking updates, sharing ETD, ETA, routing information, and any relevant notices until the container arrives at the buyer’s port.
